1. Booking & Retainer (Deposit)

To secure your event date, a non-refundable retainer is required:

  • $100 for DJ services only

  • $100 for Photobooth services only

  • $200 when booking both DJ and Photobooth services

Your event date is not reserved until the retainer has been received.

The retainer will be applied toward the total balance.

2. Payment Terms

The remaining balance is due:

  • Before or at the event

  • Full payment must be received before services begin

DJ SoundPhaze Events reserves the right to delay setup or refuse to begin services if full payment has not been received.

3. Minimum Setup Time Clause

The client agrees to provide:

  • A minimum of 60 minutes of setup time prior to the event start time

Delays caused by the venue, coordinator, or client that reduce setup time may result in delayed start of services. Service time will not be extended due to delayed setup unless overtime is approved and paid.

4. Overtime Policy

If additional time is requested beyond the agreed service period:

  • $50 for an additional 30 minutes

  • $100 for an additional 60 minutes

Overtime must be approved by DJ SoundPhaze Events and is subject to availability.

Payment for overtime is due immediately before the additional time begins.


5. Cancellations & Refunds

The retainer is non-refundable.

If the client cancels:

  • Cancellations made more than 7 days prior to the event date will receive a full refund of all payments made, including the retainer.

  • Cancellations made 7 days or less before the event date will result in the retainer being non-refundable.

Any payments made beyond the retainer may be refunded at the discretion of DJ SoundPhaze Events.

Exceptions may be considered on a case-by-case basis but are not guaranteed.

If DJ SoundPhaze Events must cancel due to emergency or unforeseen circumstances, all payments made will be fully refunded.

6. Client Responsibilities

The client agrees to:

  • Provide safe and adequate space for equipment.

  • Provide access to reliable power outlets.

  • Maintain a safe environment for staff and equipment.

  • Ensure guests behave respectfully toward staff and equipment.

7. Guest Conduct & Safety

DJ SoundPhaze Events reserves the right to:

  • Stop services if guests become aggressive, inappropriate, or unsafe.

  • Refuse service to intoxicated or disruptive individuals.

  • Remove equipment if staff safety is compromised.

Any physical interference, harassment, or unsafe behavior toward staff may result in immediate termination of services without refund.

8. Equipment Protection & Damage

The client is financially responsible for damage caused by guests, including but not limited to:

  • Liquid spills

  • Equipment tampering

  • Physical damage

  • Theft

Repair or replacement costs will be billed accordingly.

9. Photobooth Internet & Sharing

The photobooth includes its own internet connection, and venue WiFi is not required.

In the event of temporary connectivity issues:

  • Photos and videos will continue to be captured normally.

  • All captures will be securely saved.

  • An event gallery link will be shared with the host once service is restored.

  • The host may then share the gallery with guests so they can access their images.

DJ SoundPhaze Events is not responsible for third-party internet interruptions or carrier delays beyond reasonable control.

10. Media Release

Unless otherwise requested in writing, DJ SoundPhaze Events may use event photos or videos for:

  • Website

  • Social media

  • Marketing and promotional materials

Clients may request specific images be excluded from promotional use.

11. Force Majeure

DJ SoundPhaze Events is not liable for failure to perform due to circumstances beyond reasonable control, including but not limited to:

  • Natural disasters

  • Power outages

  • Venue restrictions

  • Government orders

  • Emergencies

12. Limitation of Liability

DJ SoundPhaze Events shall not be liable for indirect or incidental damages.

Maximum liability shall not exceed the total amount paid for services.

13. Agreement

By booking services and submitting payment, the client acknowledges that they have read, understood, and agreed to these Terms & Conditions.
